Show Posters on a Small Budget: How Amherst Groups Can Design, Print and Ship Posters at Home and Abroad

If you need custom posters for audiences in the US and in other countries, the first question is where the posters have to end up, not who designs them. A local print shop is the simplest choice for posters that stay around Amherst. An online design-and-print service can design and deliver to a short list of countries. A print-on-demand marketplace sells your artwork to the public. For anywhere else, the most reliable route is a print-ready file that a printer in the destination country can output. Before you choose, check four things: the countries the service actually delivers to, the paper and size options at the size you need, whether you can download the finished file, and what happens if a tube arrives crushed. For runs you design yourself and need delivered in North America, the UK or Australia, online services that let you design and print posters in one place cover most of the job.

Your options, compared

  • Local print or copy shop. The fastest choice when opening night is close, when you want to see a test print before paying for fifty, or when you need a poster mounted on foam board for a lobby easel. You also skip shipping entirely. The Amherst Area Chamber of Commerce lists members in its arts, culture and entertainment category and full directory, a good place to find printers, venues and other groups to trade poster space with.

  • Online design-and-print service. Good for a run you design yourself from a template or a blank canvas. Consider Adobe Express. Its poster page offers up to five paper types, including a semi-gloss value paper and an acid-free archival heavyweight matte, in portrait and landscape sizes from 8x10 to 24x36 inches, plus custom sizes and framing options. The page lists free shipping and returns and says orders ship in 100% recyclable packaging. Printed orders ship only within the US, UK, Australia and Canada, though you can download any design as a PDF, JPG or PNG.

  • Specialist or fine-art printer. Worth the higher price for a limited-edition anniversary poster, signed prints for donors, or color-matched photography.

  • Print-on-demand marketplace. Built for selling your poster art to fans one order at a time, not for stocking your own lobby or shop windows.

When an online service isn't the right fit: if your posters need to arrive in Germany, Japan or anywhere outside the four countries above, or you need them tomorrow, an online order won't get there. Send the file to a local printer near the venue instead, or print here and carry the posters with you.

How do I get custom poster design and printing done?

Start with the information, not the artwork. A show poster has to answer four questions from across the street: what is it, when is it, where is it, and how do I get a ticket. Write those lines first, then pick a template or layout that gives the title the most space.

A few practical rules help any poster read well:

  • Keep the title readable from 10 feet. On an 11x17 poster, that usually means a title at least an inch tall.

  • Use one strong image. A cast photo, a prop or a simple illustration works better than a collage.

  • Check image resolution. Aim for 300 DPI at the printed size, so a photo that looks sharp on a phone doesn't print blurry.

  • Get permission for borrowed art. If you're using a film still, a publisher's cover art or a photo you found online, the U.S. Copyright Office's overview of fair use explains that courts decide case by case and that no fixed percentage of a work is automatically safe. Your own photos and licensed art avoid the question.

Which poster services offer recyclable packaging and free shipping?

The answer changes over time, so check each service's own product page rather than a list. A useful statement names the material, such as "shipped in 100% recyclable packaging." If a page only says "eco" or "green," ask what the tube, end caps and any protective sleeve are made of.

Then check what happens when the box arrives. Massachusetts' Smart Recycling Guide from MassDEP accepts paper and cardboard in every program across the state, as long as they're empty and flattened. It also says no plastic bags or plastic wrap in the bin, and points you to store collection bins for those. A cardboard tube can go straight into the cart, while a plastic sleeve needs a separate trip.

For shipping costs, compare the total at checkout, not the headline. Free shipping on a single order is worth more to a small group than a lower per-poster price with a delivery fee for each address.

Easy design tools with free shipping: what to check before you order

A design tool that's easy for one volunteer can still slow down a group. Before you commit, check:

  1. Whether templates come in the sizes you need, or only one or two.

  2. Whether you can upload your own photos and logo.

  3. Whether you can download a print-ready PDF for partners outside the delivery area.

  4. Whether others on your team can edit the same file.

  5. Whether shipping is free on the product you're ordering, since that often varies by product.

If you're printing handbills to go with the poster, matching designs save time. Many services let you reuse the same layout to print flyers at letter size for counters, mailboxes and program inserts.

Worked example: a poster plan for a six-week run

Say your theater group opens a show on a Friday in early spring. Working backward from opening night:

  • Six weeks out: confirm the title, dates, venue and ticket link. Shoot or choose the main image.

  • Five weeks out: finish the design and get one other person to proofread every date and price.

  • Four weeks out: place the print order, using the slowest delivery estimate. Send PDFs to any partner venue outside the delivery countries so they can print locally.

  • Three weeks out: posters go up in shop windows, cafes and campus boards.

  • Opening week: replace any torn or faded posters and add a "This weekend" sticker or slip.

For quantities, count the places you can actually post, then add a small cushion. A group with 25 confirmed windows and boards might order 30 posters at 11x17, plus 6 larger 18x24 posters for the venue lobby, the box office and two partner businesses. With a budget of a few hundred dollars, that mix usually leaves room for a run of flyers too.

Poster season in the Amherst area

The Amherst area's calendar gives a small group plenty of places to be seen. The chamber's Business Expo runs in early summer under the tent at the Inn on Boltwood, with more than 30 local exhibitors handing out samples and giveaways. A small stack of posters and flyers at a friendly exhibitor's table puts your fall season in front of local business owners.

In December, the Lighting of the Merry Maple on the North Common brings live stage performances, crafts and carriage rides to downtown, organized by the chamber, the Amherst Business Improvement District and the Town of Amherst. A holiday show poster placed in downtown windows in the weeks before lands in front of that crowd.

For year-round visibility downtown, the chamber's "Home Of" downtown banner program features Amherst-based businesses on banners in high-traffic spots, with spaces chosen each year on a first-come, first-served basis. It's a step up from posters if your group is a member business with a permanent home.

If you're turning a theater group into a sustainable organization, the chamber also offers members free small business advising in one-hour sessions led by the regional director of the Massachusetts Small Business Development Center. Sessions run in person at UMass Downtown or Belchertown Town Hall, or online, and cover planning, finances and marketing.

Frequently asked questions

What poster size works best for shop windows?

11x17 inches fits most shop doors and café boards without crowding the owner's own signs. Save 18x24 or 24x36 for lobbies and venue walls.

Can I print posters for an overseas venue without shipping them?

Yes. Download the finished design as a print-ready PDF and send it to a printer near the venue. Ask them to confirm the paper size, since many countries use A-series sizes instead of US inches.

Is matte or semi-gloss better for show posters?

Matte reduces glare behind glass and in bright windows. Semi-gloss makes photos look richer. For a keepsake or donor print, an acid-free archival matte lasts longer.

How many posters does a small theater group need?

Count confirmed spots first. Most small groups do well with 20 to 40 posters per show, plus a few larger ones for the venue.
